Privacy policy

Plain-English summary of how PMS handles your data and your tenants' data.

1. Who we are

PMS is operated by Gul Partners Ltd (the "Operator"). Registered in England. Contact: billing@harleymindcare.com.

2. What data we hold

• Your account data — name, email, password (hashed), phone, the portfolio you manage.
• Portfolio data you enter — properties, units, tenancies, tenants, payments, expenses, documents.
• Tenant data — you (the landlord) are the data controller for your tenants' personal information. PMS is the data processor. We will provide a Data Processing Agreement on request.

3. Where it's stored

On UK-hosted servers operated by us. Daily encrypted backups. Data is not sent outside the UK or EEA.

4. Your rights

• Export all your data as CSV at any time — from Finance → MTD and each resource's list page.
• Request deletion of your account and all portfolio data — email us and we'll action it within 30 days.
• Your tenants have the same rights — a subject access request should be routed to you first (as data controller); we will assist.

5. Third parties

We use Stripe (when you enable paid billing) and an email delivery provider. We do not sell or share your data with any other party.

6. Cookies

Only essential cookies for authentication and session. No tracking cookies.
